Disney Cruise Line: Sending Email of Requests to Concierge Services

One of the many perks of sailing concierge status on Disney Cruise Line is the ability to make requests ahead of time before other regular guests. If you are new to Disney Cruise Line, this can be a HUGE benefit. Otherwise, as a non-concierge newbie, you will be in the back of the booking queue and have to wait to make requests 75 days ahead of time. Ahead of you will be Pearl (123 days), Platinum (120 days), Gold (105 days), and Silver (90 days). By the time your new cruiser window opens up to book activities, you will have fewer choices to reserve.


For those sailing concierge, Disney Cruise Line Concierge Services will send an alert email at 135 days ahead of your sail date. This email reminds concierge guests that they can send an email back to them at 130 days beginning at 12am Eastern Standard Time.  Global Wishes suggests that concierge guests follow the world clock and send their email to the shoreside concierge team right at midnight.  It is not helpful to send the email any earlier than midnight as the concierge requests are time-stamped. Earlier requests will fall to the back of the queue to keep it fair for those following instructions.


The range of requests are numerous. They can include spa treatments, adult beverage tastings, port adventures, private cabana rentals at Disney Castaway Cay and at Disney Lookout Cay at Lighthouse Point, adult dining reservations, Bibbity Bobbidy Boutique and Pirate League appointments for children (must be between ages 3-12), preferred seating time for dining rooms (first seating time is 5:45pm and the second seating time is 8:15pm), dining room venue rotation, reservation for Royal Gathering character experience, reservations for Royal Court Royal Tea or Adventure Tea/Olaf’s Picnic (ship dependent), and reservations for Virtual Sports and Golf Simulator (also ship dependent). Concierge guests can make requests for their stateroom/suite, including drinks for their beverage cooler, types of pillows, robes for children. If you have something specific in mind to request, just go ahead and alert shoreside concierge in your email as it never hurts to ask!


You (or your travel agent if one is being used) can call the shoreside concierge services team ahead of time to ask if there is a daily schedule for the specific sailing. This sort of information is helpful especially if there will be formal/semi formal nights, when other themed nights like Pirate Night or Frozen Night (depends on the itinerary) are scheduled, and if there are any other sorts of events planned for special itineraries like a Pixar Day at Sea, or for holiday sailings like Halloween on the High Seas or the Very Merrytime Cruises. You can also ask shoreside for information on adult beverage tastings and if there any other special offerings while you are onboard that might require scheduling ahead of time.  


Concierge guests can also reach out to the shoreside team to ask about any updates on port adventure offerings. A word to the wise: sometimes what shows up on the website for port adventures is not current. This is especially true on some of the more “boutique” sailings that don’t happen regularly so asking for any updates can be useful.  A guest can also take this opportunity to ask if, and when, brunch and dessert experiences and any other sorts of unique adult dining experiences will be offered.


If you have concierge status and have other family or friends on the same cruise who aren’t in concierge, the non-concierge folks cannot enjoy the concierge lounge or anything else that is concierge-specific.  Your non-concierge friends won't be able to enjoy the private character meet and greet if one is offered, nor would they be able to join you early for theatre seating before the doors open for regular cruise guests. These types of perks are only offered for guests possessing concierge status.


What you can still do is request your non-concierge friends participate with you during activities like port adventures, adult dining experiences, and adult beverage seminars.  The key thing here is that someone in a concierge stateroom must be participating in order for the non-concierge guests to be included.  Where this does not work, for example, is if you are a grandparent in concierge and your grand-daughter (who has non-concierge status) wants to go to Bibbidi Bobbidi Boutique on the ship. You won't get this request granted since your grand-daughter would be the one listed as the participant on the BBB reservation (and yes, she must be between the ages of 3-12) but she is not in your concierge stateroom - so this is a no go. The concierge shoreside team can accept requests for up to FOUR other staterooms in your email to them, and they must be linked ahead of time to the concierge confirmation reservation.


In the email to the shoreside concierge services team, Global Wishes suggests that you spell out what you are wanting on a daily basis. The more organized you are, the easier it will be for shoreside to work through your requests. This is especially important for longer sailings and more port-intensive. 


Posted below is an example of the request email concierge guests send to shoreside. We have added some notes as well. You use a link that shoreside sends in their email to you 135 days before your sailing. Remember, do not send this email earlier than right at midnight 12:00am when the 130 day mark begins.

We also will be traveling with family and friends who aren’t in a concierge stateroom or suite.  Their confirmation numbers are: __________ and stateroom numbers __________.  Their full names and dates of birth are _______. We understand that to include them in on some of our requests, at least one of us in our concierge stateroom/suite must also be participating.


Day 1:  Embarkation - Time to Sail Away!


  • Request for selected beverages for stateroom cooler: water, sodas (DCL uses coke products), juices, milks, etc.


  • Request for ice to be delivered every day.

     

  • Request for dining time (first or second) and dining room rotation.  


  • Request for a certain dining room server you have heard will be on your sailing. 


  • Request for select pillow types for the stateroom/suite.  [Note: This can also be requested via the concierge team onboard.]


  • Requests for younger children like a pack n play, high chair or booster seat.


  • Request for child size robes in stateroom.


Day 2: Port of Castaway Cay or Lighthouse Point

For example’s sake: this is an itinerary that stops at Disney Castaway Cay and/or Disney Lookout Cay at Lighthouse Point and a concierge guest wants to request for a cabana. If a concierge guest was docking at a different port, this is when you would list your DCL Port Adventures). 


We would like to request a private cabana on the family beach or the adult beach.

[Note: If you have a cabana number that you especially like, you can request it, but also say that you’ll take whatever you can get if your first choice has already been assigned.]


Since we are traveling with an infant who is 13 months old, we'd also like to request a pack and play be delivered to our private cabana.


In addition to our private cabana request, we would like to request Port Adventure C11 (Glass Bottom Boat Scenic Voyage) for three members of our family (insert participant names here), preferably around (insert time preference here.


Day 3: Sea Day

For example’s sake, this is a Day at Sea. Many of these requests can be made for port days too!


  • Request for a certain spa treatment.  Add participant name here and preferred time.


  • Request for a BBB appointment for child . If there is a Royal Gathering on this day or perhaps a private photo shoot scheduled, ask that the BBB appointment be beforehand.  Add child participant's name.


  • Request for Royal Gathering character experience.   Add participant names here.


  • Request for whatever Liquor Tasting you are wanting.  Add adult (must be 21+) participant names here.  


  • Request for Specialty Child Experience (like Olaf’s Royal Picnic on the Wish).  Add participant names here.


  • Request for Brunch at Palo or Enchante dessert tasting experience if it is being offered.  Add participant names here (must be 18+ years of age).


Day 4: Debarkation (this sailing was way too short!)


We would also like to request information about private transportation to the airport or over to Walt Disney World for our post-stay portion of our vacation. [NOTE: Concierge guests can ask about this ahead of time to get pricing, although it might not be offered until 90 days ahead of the sailaway date.]
